Theater Coordinator

 

Primary Function

Assists Manager of Theater Operations and Events with supervising operational and administrative aspects of all events occurring at Hollywood Central Performing Arts Center as well as rental activity for the Center and some special events at the Art and Culture Center/Hollywood galleries and Arts School. Assists Technical Director with technical component of some events and projects.

Duties and Responsibilities

  • Assist with ensuring departmental practices are compliant with company policies and legal requirements.

  • Assist Manager of Theater Operations and Events with daily operations of performing arts facility and facility staff.

  • Answer inquiries for rentals as needed; Oversee the development and maintenance of database of all individuals and organizations renting the facility.

  • Assist with the preparation, negotiation, and reconciliation of facility rental contracts and required paperwork.

  • Coordinate operational requirements for events and communicates relevant event information to facility staff.

  • Assist Manager of Theater Operations and Events with assessing and monitoring events in order to revise and update all operational needs; Maintain necessary paperwork and account information.

  • Help monitor concession needs including buying product, inventory and reconciliation of money.

  • Be main staff representative at regular weekly events held on Wednesday evening and Sunday mornings. Representative for other rental and special events as needed.

  • Assist with the operation of sound, light, and show equipment when necessary at HCPAC and ACCH.

  • Maintain informational materials on all aspects of the facilities for distribution to current and potential clients.

  • Assist follow up with rental clients before and after the event via verbal communication, email, surveys, etc. to confirm event information and receive feedback.

  • Assist with monitoring custodial activities and work orders to ensure proper upkeep of HCPAC facility is maintained.

  • Help recruit, train and supervise house, technical and box office management personnel, as needed.

  • Assist with general office managerial duties. Help Manager of Theater Operations and Events monitor all HCPAC payroll records, labor budgets, bi-weekly time sheets and work schedules for all event personnel.

  • Assist with creating reports and submitting to established departments.

  • Attend all necessary facility and staff related meetings.

  • Perform other related duties incidental to the work described herein.

  • Other duties as assigned.

Candidate Qualifications

The ideal candidate will have an interest in performing arts and facility management and at least 1 year of previous experience in a similar role. Excellent organizational, time management and computer skills as well as an ability to work well with the public is essential. Candidate must have strong office and administrative experience, attention to detail as well as an ability to proactively solve problems with positive outcomes. Candidate should also possess the ability to multitask and work well with a variety of personalities while maintaining a positive attitude even in highly stressful or time sensitive situations. The candidate must work well as part of a team and also be self-directed, conscientious, punctual, dependable, and organized. Experience in technical theater a plus but not required as training will be provided.

Responsible For: Assists with Management of the Hollywood Central Performing Arts Center (HCPAC), special select events

Position Type: Approximately 20-25 hours per week, part time. Flexible schedule necessary, especially evenings and weekends

Schedule: Must be available Sundays 7:00 am-2:30 pm, Wednesdays 1:00-9:00 pm. Additional hours based on event schedule and needed office hours.

Reports to: Overall supervision, Deputy Director. Works directly with Manager of Theater Operations and Events and Technical Director

Salary Range

$11-$15 an hour based on qualifications.

Instructional Designer

 

Primary Function

With direction from Center staff, designs and develops instructionally sound, fully integrated curriculum and learning materials for specialty educational programming. Lessons will integrate the arts with core subjects and will follow appropriate age-based learning standards.

Candidate Qualifications

Candidate must have experience designing educational lessons and working with interdisciplinary education. Interest in technology and interactive learning experiences will be of benefit. Classroom teaching experience also a plus. A Bachelor’s or advanced degree preferred. The candidate must have excellent organizational and communication skills and be able to meet timelines and specific goals.

Responsible For: Research, design, and development of innovative PreK-12 learning lessons that support the Distance Learning programming

Outreach Program Associate

 

Primary Function

Assists with coordination of educational outreach programming at the Art and Culture Center including: Free Arts! Family Days, community events, Distance Learning, school partnerships, and other special projects.

Duties and Responsibilities

  • Ensures the smooth operation of educational outreach programs. Serve as lead team member on select projects.

  • Responsible for teaching some projects and programs associated with outreach programming.

  • Help coordinate registration for events and special programs.

  • Assist with coordination, design, and implementation of lesson plans for programming.

  • Oversee various outreach educational program budgets, and work with the ACCH management team to develop new and expand existing programs.

  • Compile and report statistics for outreach and projects monthly

  • Ability to multi-task and handle several requests from a variety of forms, emails, and calls happening at the same time.

  • Work with Education team and PR department to promote education programs and services. Contact schools, families, and communities to promote existing and upcoming programs. Design creative text for promotion purposes.

  • Review written marketing materials relative to outreach educational programming.

  • Communicate with parents, schools, and the community about current and up coming educational opportunities and programs.

  • Monitor and purchase supplies required to implement programs within allowed budget.

  • Maintain and set up program materials, teaching spaces and tools.

  • Create and implement other educational opportunities that help support the mission of the Art and Culture Center/Hollywood.

  • Assist the Deputy Director with administrative tasks as needed

  • Serve as a liaison for the Art and Culture Center/Hollywood at necessary meetings and public forums.

  • Provide bi-weekly reports regarding the status and accomplishments of programs.

  • Perform other related duties incidental to the work described

Candidate Qualifications

Candidate must possess an Associate’s degree and/or currently enrolled in a degree seeking program in early education, elementary education, art education, museum studies, or other related field and a minimum of two years of experience working with children, families and/or education. The candidate will work directly with children and families, so a strong sense of commitment and responsibility is required. The candidate should work well as a team and also be self-directed. The candidate must have excellent organizational and administrative skills as well as an strong sense of diplomacy and ability to work well with the public.

Responsible For: Assistance with outreach and special programs with the Education Department

Liaison with: The Art and Culture Center/Hollywood administrators and staff, students, the community, parents, teachers, artists, and other organizations

Schedule: Part-time, approximately 15-20 hours a week, schedule varies based on program needs

Maintenance and Custodial Associate

 

Duties

Under general oversight by the theater manager, it is the role of the Maintenance and Custodial Associate to follow daily, weekly and monthly cleaning schedules at HC-PAC including, but not limited to office areas, bathrooms, storage areas, classrooms, kitchen, patio, lobby/café, technical booth, stage, entrance way, arts school, and exhibition galleries. The custodian will also be responsible for performing additional maintenance duties such as general building and grounds oversight, small repair jobs and other duties as needed.

Candidate Qualifications

The successful candidate will have a basic understanding of custodial duties. Previous experience greatly desired. The candidate should work well as part of a team and also be self-directed, punctual, dependable, and willing to learn the specific custodial standards for each commercial facility. The candidate must have excellent time management, organizational skills, be detail oriented, as well as possess an ability to work well with others. Must be able to pass a background check.

Responsible For: Maintaining and cleaning HC-PAC weekly. Assist with the maintenance and upkeep of ACCH facility and storage areas, as needed.

Location: Hollywood Central Performing Arts Center (HC-PAC) and Art and Culture Center/Hollywood (ACCH)

Salary Range: $10.00-$12.00 per hour. No guaranteed hours, but usually range from 6-20 hours per week. Flexible schedule as needed. Primarily afternoons, evenings, and weekends.

Reports to: Manager of Theater Operations and Events. Department supervision by Deputy Director
